Card Issuers with the integration with Online Ordering

COURSE DESCRIPTION

In this course you will learn who are “Card Issuers integrated with Online Ordering”. The course describes the way how cards for Card Issuers with integration with Online Ordering are issued, because this type of issuing has some specifics.

CARD ISSUER WITH “INTEGRATION WITH ONLINE ORDERING“

Card Issuers with “integration with Online Ordering” are card issuers whose customers use a special Online Ordering Form. URL of this form has a special ending, it ends with the string “?schoolIntegratorId=XY”, where XY is ID number of Card Issuer. This ID can be found when editing Card Issuer (in the following picture, ID of Card Issuer is 55681, so the URL of Online Ordering Form would be https://cz-online.aliveplatform.com?schoolIntegratorId=55681

Typical Card Issuers with integration with Online Ordering are schools/universities, that want their students to order cards through special Online Ordering Form. In comparison with “standard” Online Ordering Form, this form has some specifics:

  • It can be tied to special Price List of that Card Issuer (so, it is possible to define different prices for cards from the standard Online Ordering Form)

  • The Online Ordering Form is only for students from one school, so in the second step of the Form, there is no drop-down menu with possibility to choose the school (which is in standard Form)

  • It is possible to customize the Form using CSS code

SETTING UP IN NCDB

Setting up in NCDB For the rest of this course, let’s assume the following situation: There is one university (let’s call it “University Prague”, which is integrated with Online Ordering and wants its students to order cards through a special Online Ordering Form. At first, you have to set up an NCDB profile of this university. During set-up of NCDB profile, have a look at “Integration with Online Ordering” window (see the picture below). Mind that the options appear after you check the “Integrated with Online Ordering” checkbox.

 

 

Specify whether Applicant’s photo and other documents are mandatory or optional. You can also specify the URL of a CSS file that can customize the Online Ordering Form. You can also specify the “Pickup Information” that will be displayed in last step of Online Ordering Form (on “Thank you” page). Setting of a User To be able to control the whole process, you have to set up a User for your University Prague. Put all mandatory information to “Basic details” window (don’t forget to write valid e-mail address). Select the “Active” checkbox. In “Role Settings”, please select “Card Issuer” for NCDB role.

If you want to use request confirmation In “Notifications” window, it is necessary to select “Student status confirmation request” checkbox. This checkbox makes this user to get email notifications when a student orders his/her card and to confirm the requests (see later).

 

 

Setting of Price List For your University Prague, you can create a special Price List. This can be done in NCDB -> Card Issuers -> Price Lists. In this Price List, you should set up prices for all cards University Prague is going to issue (ISIC and ITIC cards for example). As Delivery method, we choose “Delivery to school” option, because University Prague wants all the cards to be delivered to school and they will provide it to their students (students will pick their cards at university office).

 

SETTING UP IN ONLINE ORDERING

You don’t have to make a lot of specific settings in the Online Ordering application.

 

Hello, {{ cardOrder.firstName }} {{ cardOrder.lastName }} ordered {{ cardType }} card and asks you to confirm student status. Please click the URL link below: {{ confirmUrl }} Thank you, team {{ cardType }}.

You define this email template only once for all Card Issuers with Online Ordering integration, the content can be personalized for them using TWIG conditions (condition based on „cardOrder.institutionId=XY“, where XY is the ID of specific Card Issuer within NCDB). Please mind that the variable {{ confirmUrl }} is really important and it must be in the body of the e-mail. This variable adds the URL, where student status of the card’s applicant can be confirmed.

 

In case you want your students to pick up their cards (for example in school office), also the email template “Order ready for pick-up“ has to be defined.

 

DESCRIPTION OF THE WHOLE PROCESS

Now, let’s describe the whole process:

Your customer (student of Prague University) comes to the URL of the Online Ordering Form

He/she orders a card and pays for it

The Card Order appears in Online Ordering application (it is marked in red) and the email “Request for school to confirm eligibility” is sent to the user of Prague University. In this email, there is a link to confirm eligibility of card applicant. After clicking on this link, a website with details of the order appears (see picture below – the pictures are for illustration purpose only). Clicking the ”Validate/Verify” button, the eligibility is confirmed and in Online Ordering application, the order isn’t marked red any more. When clicked on “Reject”, the order can’t be processed further.

 

Be careful – the order can’t be processed and exported to NCDB without this step. So, the university has full control over all card orders.

  • After the order is exported to NCDB, the process is the same as usual, it means the order goes to Personalization Center where the card is printed.

  • Users from Personalization center send cards to school and in NCDB marks the order as Processed and as On the way (using the “Send” icon – see picture below).

The email “Order ready for pick-up” is triggered to let the customers know that their cards are prepared.

At this moment, the process is almost done. The state of the order is now Delivered

The very last step should be done in Online Ordering application: in Online Ordering application, the card’s state is now Pick up ready .

At the moment the student comes and picks up his/her card, in Online Ordering application, in detail of the order, the pick up should be confirmed clicking on “Mark as picked up” button (see the picture below). This confirmation can be done by the NCDB user of Prague University, who we have set up at the beginning of this course.

Now, the lifecycle of the card order is completed.

The process described above seems maybe complicated, but it has its logic. The most important advantage is that schools have full control over card orders (because someone from the school has to confirm student statuses) and over card delivery to students (at the moment a student comes for his/her card, the order is manually marked as “picked up”).

 

OPTIONAL CONFIRMANTION OF CARD ENTITLEMENT

The requirement to manually confirm whether the student has or hasn’t the right to obtain the card (confirmation done via clicking the link in the email) will differ based on which documents are set up as mandatory in NCDB. In some cases, when the student/teacher must upload his confirmation of student/teacher status, there will be no email with confirmation link sent to school staff. For these cases, having uploaded valid confirmation of student/teacher status is enough to prove that the student/teacher is entitled for the card. In case the upload of confirmation of study/teaching is NOT required, the flow will remain the same as described above. (so the school staff needs to make manual confirmation). To summarize this, see how the settings will affect claim confirmation:

NCDB - Required Documents section:

  1. Identity document and confirmation of study/teaching is selected, no email with confirmation link is sent, manual confirmation not required

In this case, the student/teacher must upload the document that is proof that he/she studies/teaches at the university. This document itself is sufficient proof, so there is no need to make the confirmation again by the school staff. In this case, no email with a confirmation link is sent. The orders can be approved and exported into NCDB by ISIC staff immediately.

  1. Identity document only is selected, email with confirmation link is sent, manual confirmation is required

In this case, the student/teacher doesn’t upload a confirmation of study/teaching. Therefore, an automated email is sent to school staff who need to click a link within this email to confirm the customer is their student/teacher and therefore he/she is entitled for the card. In case this confirmation step is not done, the order appears in red color in Online Ordering administration and ISIC staff cannot approve it and export it to NCDB.

  1. Confirmation of study/teaching only is selected, no email with confirmation link is sent, manual confirmation not required

  1. None is selected, email with confirmation link is sent, manual confirmation is required
